Administrative Assistant Position in TX

Responsibilities:

• The daily tasks of this job include answering the phone, helping customers, sorting mail, invoicing, and collecting payments. You will also be responsible for tracking open issues and doing some reporting.
• Keep an overview of your training, assessments, and licenses in one place.
• Work side-by-side with the Sales Arborist and Operations Manager to help field personnel.
• Help coordinate the schedules of Arborists and their Crews.
• Keep both physical and digital files safe for customers and the business.
• Keep in touch with current and potential customers, vendors, suppliers, owners, and others through ongoing phone calls and emails.
• Ensure that all vehicles and machinery in the fleet are regularly serviced and repaired as needed.
• As a Viva Trees brand representative, you must provide excellent customer service by answering calls and scheduling estimates or service appointments.

Qualifications:

• Prior office experience, especially in customer service or administration, is a plus but we will train the right candidate.
• Candidates should be skilled in using Microsoft Office Suite, have experience with QuickBooks, and feel confident using other business software.
• Being familiar with the local area is essential.
• We need an individual who is highly dependable and has excellent organizational skills.
• Strong interpersonal skills, collaboration, problem-solving outlook, and practical communication abilities are essential.
• A degree or certification in business management, arboriculture, forestry, environmental sciences, and/or arborist is desired but not required.
• The best candidates for this position will have excellent business sense and practical experience in running day-to-day operations.
• A driver’s license that is clean and valid.
